EPF e-Passbook – Check Your Employee’s Provident Fund Balance Online

India is the second fastest growing economy in the world and despite continued global economic slowdown, India has remained one of the most attractive destinations for the foreign investors and thus has been able to generate enough employment opportunities for our predominantly young working population.

People change jobs, move to newer places and with many other new things, get new EPF accounts also. They either get the previous balances transferred into the new accounts or withdraw the balances completely. Not many people know that withdrawing EPF balance is illegal. But that is not the central point of this post.

Starting July 25th this year, Employees’ Provident Fund Organisation (EPFO) has started providing online information of EPF balances to its active subscribers by issuing them “e-Passbook”. Here is the EPFO Circular (Sample e-Passbook attached) dated July 20th, 2012 carrying announcing the same.

e-Passbook is an online version of an employee’s provident fund records, in which all the transactions are recorded month-wise and date-wise. With the help of this passbook, you can now check your EPF balance online as and when you want to.

Here is what to do to access your EPF e-Passbook:

Step # 1 – Visit the EPFO members’ portal – http://members.epfoservices.in/

Step # 2 – Click on the Register >> button at the bottom of the page or Click here to Register button under the LOGIN box to reach the Registration page.

Step # 3 – On the Registration page, you are required to enter your Mobile number, Date of Birth, Email id, a six-alphabet unique text character and one of the below mentioned eight documents with its unique number and your name as on the document.

  1.  PAN Number
  2. AADHAR (UID)
  3. NPR (National Population Register)
  4. Bank Account Number
  5. Voter ID Card
  6. Driving License
  7. Passport Number
  8. Ration Card Number

Once all fields are filled up, click on “GET PIN” button and you will get a four-digit Authorization PIN on your mobile instantly. The message would read like this “To complete your registration on member portal enter PIN: XXXX”

Enter the PIN in the box provided at the bottom of the page besides “Enter Authorization PIN”, tick the “I Agree” box and click on the “Submit” button to complete the registration. On successful registration, you will get a confirmation message on your mobile “Your Registration on Member Portal is successful. Your PAN Number is XXXXXXXXXX and date of birth is XX-XX-XXXX. (date of birth is not required).”

Step # 4 – Once registration is complete, you can enter the members area by selecting your document, entering the document number and your mobile number that you entered on the Registration page and clicking on the “Sign In” button.

Please note that there is no need to create and remember any user id and password. You just have to use your mobile number and the identification proof number to login into the system. Once login is successful, you will see your name on the right hand side of the page.

Step # 5 – You can now download your EPF e-Passbook by clicking on the “DOWNLOAD E PASSBOOK” link on the top of the page. You can edit your mobile number and other details also on this page.

You need to select the state where your establishment/company is covered and then the EPFO office name which is applicable to you. There are a total of 120 state offices of EPFO in 35 states and union territories of India.

In case you do not know the EPFO office under which your company is complying or which is applicable to your account, then you can use either of these establishment search facilities to get the details of the office and also the code number of the company – Search Establishment Code – 1 or Search Establishment Code – 2

Establishments under old Office Code – It is EPFO office code and works state-wise
Establishments under Office – It is EPFO office code and works EPFO office-wise
Show all estt. under this PIN Code – It will show all the companies under the entered Pin Code
Old Office Code – It is EPFO office code and works state-wise
Establishment Code – It is your company’s code

Step # 6 – Once the state EPFO office is selected, you need to enter your EPF Account Number which would look something like this one – GN/GGN/28544/999 or GN/GGN/0028544/000/0000999.

Understand your EPF Account Number

GN is the Region Code.
GGN is the Office Code.
0028544 is the Establishment/Company Code and cannot be greater than 7 digits.
000 is the Extension Code and in most cases it is 000.
0000999 is the Account Number.

Now enter your name exactly as per EPF records, a six-alphabet unique text character and click on the “Get PIN” button to again get the four-digit Authorization PIN on your mobile. You would again receive a PIN on your mobile. The message would read like this “To download Member Passbook from Member Portal please enter PIN XXXX”

Again, enter the PIN in the box provided besides “Enter Authorization PIN”, tick the “I Agree” box and click on the “Get Detail” button to get your required e-Passbook. You will get a link for the passbook to open or save for your reference. You will see month-wise transactions made in your EPF account from the year for which the annual accounts of your company were updated since computerisation of the concerned field office.

But, if you had left the company prior to March 2012, then the information will not show up immediately. In that case, a message will be displayed “Your e-Passbook not available”. You would be required to click on the link “Send request to get your e-Passbook” and then “OK”.

You will get this message “Your e-Passbook request has been accepted. You shall be intimated on SMS when the same is available. You can check back after 3 days.”

If your account is inoperative due to non-receipt of any contribution for more than 36 months or if it is settled or has a negative balance, then the passbook will not be made available online. Whenever you have an active account, you should apply in Form 13 to get the earlier account(s) transferred to the active account.

Some other important points to remember:

This facility at present is available only for the employees for whom the employer has uploaded the Electronic Challan Cum Return for the wage month of May 2012 onwards.

If your organisation is not covered under the EPF Scheme 1952, you will not be able to access this facility.

One mobile number can be used for one registration only. But, you can edit your details subsequently.

A registered member can view only one account details under one establishment. In case you are having more than one account under one establishment, you need to apply for transfer of your old account balance into the new account through Form 13.

One member can view up to a maximum of 10 accounts under different establishments. All of the accounts can be viewed any number of times. You can get your old accounts transferred to the current one by using Form 13.

e-Passbook facility is a welcome move by the EPFO and will facilitate the employees in managing their EPF accounts in a better manner. EPFO should take more such steps to introduce other online services so that people can easily track and consolidate their accounts working anywhere in India.

  2. The intention may be good. But it doesn’t work.
    I had applied to download e-passbook 3 months back. Still it has not downloaded it !!

    1. Something similar here… I applied for it when I started writing this post. I was supposed to get it in 3 days’ time but I am still to get any info or any SMS. But I dont have any high hopes from EPFO either.

        1. I applied for 2 accounts with different companies 3 weeks back. Both times got the passbook within next 3 days and I was intimated by sms on both occasions.

          Both accounts were however in the same PF office (Delhi South). I think the speed and quality of information varies by the PF office.

          This service is belated though and shows the futility of govt involvement in personal finance.

            What can you expect from a Government which is just not able to make a timely firm statement in a rape case? Have least expectations from any government.

    2. Finally got the SMS and the balance last month !!
      But it is not updated for FY 11-12 (Apr 11 – Mar 12). It is updated before and after that.
      Strange ways of account keeping 🙂

    Just a observation, it just shows employer and employees contribution but does not indicates interest earned till date on this amount!

    I have got my e passbook, but the issue with the passbook is that it has entries starting from 1st April, 2010. I have done a calculation based on my monthly contribution, and the figures arrived at by me and the ones in the Epassbook are close enough.

    I had initiated a transfer from my previous company and i am guessing that it might have been transferred sometime before April 1, 2010 as the passbook does not have any entry of the transfer. Now the question is, how do i check if the balance has been updated? My current balance in my PF account does not seem to have this figure incorporated.

    Can you guide me as to whom to follow this up with. Numerous emails dropped to EPFO Pune (where my account is maintained) have not been answered 🙁

    2. Porbu,

      You would have to spend some time visiting EPFO office. Go prepared with all your documents. Go with the acknowledgement of Form 13. If they say they have transferred ask them to give you annexture of form 13. It contains all details like cheque no. Amount transferred. date of transfer

      EPFO offices have only 1 mail id- The top person. They check the a/c and forward it to specific group. But the group officials do not have any net connectivity. So they cant respond to any mails. As per my information most EPF employees do not have direct phones even for receiving calls. So all your mails and calls are not good.

      Another way to know is file RTI. It costs less. It takes time but effective. Only you should form query accurately.

    3. Hi Porbu, I also got my epassbook last week and it still does not show the details of the PF transfers happened during this period. I am told that the PF dept need to upgrade their software to show these details. I am not sure how fat this is correct. Are you able to see the details of the PF transfers now??

  14. Shiv – Since you’re being so nice and answering everyone’s queries, I thought I’d post my own.
    I returned back from an assignment in the US after 5 years last year and during this time there are no deposit made to my EPF account. Upon my return, the normal EPF contributions resumed.
    When I saw this post, I tried to check my EPF balance and basically got a deactivated account message. So I contacted my employer and they said that since I had not contributed for 3 consecutive years, my information is not updated. But they showed me proofs of the contribution to my account.
    I am still not satified and the account being deactivated bothers me. Any suggestions?

    1. Ashish,
      I too had an “inactive” message from the EPF site couple of days back.
      To make things clear,
      EPF a/c’s are locked after 3 consecutive years of non remittance which is a new amendment done recently (2 yrs if I am correct.). This means you donot get interest for your EPF amount after 3yrs of such inaction.
      However your EPF balance will continue to remain the same without any deductions/penalties.
      For latest balance enquiry you need to contact the EPF office in person.

    2. Hi Aashish… please confirm two things – You have resumed work here in India with the same employer? If yes, check whether employer’s contributions are going into the same PF account (account number should strictly be the same).

    The Passbook just shows the EPF balance that was contributed to the account. It however does not show how much interest has been accumulated. Is there any way to find this information?

    I downloaded the e-passbook but I saw that EPFO hasn’t updated the amounts. When i contacted my employer regarding the same, they told that the problem lies with EPFO. They haven’t updated the EPF with correct amount.

    So, my question is how can I contact EPF department and let them know about the correction in their updation.

    1. hello,

      Approach your group officer in PF with the payslip and Form 16. You need to give letter with documents.Remember get all the documents acknowledgement. RTI is also very effective if specific questions are asked. If you still are unsatisfied meet RPFC. This should do the work.

    I have applied PF tranpsers 5 months back from old a/c to new a/c, and i was applied e-passbook facilty almost 2 months over, still now i didn’t get msg, if i am able to see then can i get old a/c transper money information in e-passbook or status and please let me know how many months required to transperd. Otherwise not done, is it possibule to transper old a/c to new a/c in epfo site by filled form 13.

    1. Hi

      Please check copy of your form 13. If the transfer is not done you can file RTI or you can lodge online grievance. Try to visit the concerned EPFO office. I have found that the Fax to respective PF commissioner does the trick. Do not forget to write your contact details on Fax and get confirmation of Fax from PA of PF commissioner.

        1. Hi Sudhakar,

          Did you find what was wrong with your transfer? Couple of things can go wrong like wrong PF number and some documents missing even from PF. You do not need many days to find out. If the office is in your city visit the office. If they are not responding did you meet PF commissioner? I have found that secretaries of commissioner are quite helpful. This is a small matter and they call respective officers to the cabin without bothering their Boss- Commissioner.

          I have written why the email communication does not work in PF in one comment. There is no point just asking the same question. take the steps mentioned. I am surprised that you have not filed RTI yet. whats stopping you?

            RTI cannot be filed by Fax. Many sites would give you readymade format and procedure for RTI.

            First meet the group officer where you have a/c. The reception will tell you your group no. from PF a/c No. Then find whats holding up the transfer. If they do not respond or tell whats wrong in 2-3 hours meet PF commissioner. His PA would try to solve the problem at their level.

      The transfer takes 1-2 months. Anyway you can still get the passbook for 2 separate accounts for each company.

        1. Sudhakar,

          You can withdraw money when you are not getting signature. I assume you fulfill the condition for withdrawl like not employed for more than 2 months etc.

          Signatures of valid officials like 1. Magistrate 2 Gazetted officer 3.Post/Sub post Master 4.chairman/ secretary/ Member of municipal /District Local Board 5 Manager of Bank where savings a/c maintained. 6. Head of any recognised educational Institute.

          The form should be signed in presence of official and attested by official seal. If the person also gives a letter introducing his/her position ( Member of corp/ etc)it would be excellent.

          There are couple of more officials. You would get list from the instructions for filling application form with application.

  39. I changed three jobs in past. Am with present job since 2008. Applied for consolidation of all PF accounts in 2009 by submitting Form 13. Transfer was completed in 3 months although there was no way of knowing it. I had to visit local EPFO office to get this information. Coming to e-passbook, applied for it and got it within three days with entries upto December 12. Things seem to be moving, at least for me, :).

    I was able to view my passbook by following the process mwntioned above. However I was not able to match the interest calculation in the passbook.
    e.g. my opening balance on Deposits in Employee Share is 56961, Now during the year 09-10 the deposits under employee share totals to 34256, which makes the total deposits under Employee Share to 91217. Now the interest @8%(for 09-10) should actually be 7297, but the passbook is showing a credit of 6132 under employee share.

    I wanted to know whether the PF authorities calculate interest in some other fashion or I missed something in my calculation.

      the interest is calculated on reducing balance method. There are many spreadsheets in excel which will give you the figures. I cannot upload it here. You need to know rate of interest and contribution for each month.

    I had left my service from my last company in feb 2012. I registered myself for e-passbook but I am getting below message.

    Please suggest how can I apply to get my epf e-passbook now.

    I have one query regarding EPFO pension.

    My father was getting a EPFO pension. He died last month. If my mother is eligible for the dependent/widow pension or this EPFO pension is only valid till the members life?

      Monthly pension under Employee Pension Scheme (EPS) is payable to the surviving spouse/dependents even after the member’s death, subject to certain conditions.

    I see that you are trying to answer all the questions posted here and am believing the same as well (even though I see no recent queries).

    I managed to successfully register in the said website with my PAN Number and mobile number. However, the issue is that even after entering the correct credentials, it gives me the following message.

    Please check whether you have entered correct account number.If yes, then details of the entered account number is not available at the portal for verifying the account number as it is not uploaded by the concerned EPFO Office. You may contact the concerned PF Office that maintains your account.

    Request you to help me understand on how to take this further. My PF Account is with Thane, Mumbai. Appreciate your support.

    The query is regarding my very old PF account which I have not withdrawn/transferred. The issue is I do not know my PF account number. I have the salary slips, but the PF a/c number is not printed on it.
    I was working in Kanbay Software (India) Pvt Ltd Pune in 2001.
    This company was acquired by Capgemini India Pvt. Ltd around 2007/08
    I contacted RPFO Pune and they informed me that the Kanbay PF accounts are merged with Capgemini Trust. And since its a Trust they cannot locate my PF a/c number.
    I am unable to contact anyone from Capgemini.
    Untill I get my PF a/c number I cannot do anything.
    I have also submitted a RTI application to locate my PF a/c account number.
    Is there any other way to locate my PF a/c number.

    Any help in this regard is highly appretiated.

I have every detail of company A i.e. EPF number and all. Then i shifted to Gurgaon in company B where i applied for transfer but due to some reasons i left that in one month and joined another company C. Now i need to transfer there but i dont have EPF number of org B. what should i do and put in name of previous PF organization and other stuff.     But unable to request for pass book.
    MESAGE THAT I AM GETTING:
    “the account number you entered for downloading the passbook is of member having a different name. I case you are sure that you have entered correct account number, click OK to proceed or cancel to go back to and enter the correct number. Please note that if you proceed then another account number under same establishment will not be permitted from this member registration”

    Please guide me what to do.. ??
